BECOMING A VENDOR

Booth acceptance:

FreshieFest accepts vendors of all kinds! This includes vendors of all things freshies along with boutiques and craft suppliers! Just fill out our vendor application and we will be in touch!

Booth set up

The décor of your booth is completely up to you! Make it as fancy as you would like as long as it stays inside of the area you purchased. Nothing is allowed in the walkways at the event. We will have a demo booth in front of the stage for anyone who would like to do demos, or if you would like to demo at your booth, you will be required to purchase a floor covering which is $50. Please note this in your vendor application. Any mess made outside of your booth and floor covering will result in additional cleaning fees. What’s included?

10'x10' vendor space, 6' or 8’ Table , 2 chairs, a trash can and up to 4 badges for you and your staff are included per vendor. Additional badges can be purchased. If more than 4 badges are needed please include that on your vendor application.

Additional tables are available for $15 for an undressed table and $35 for a dressed table. There is no extra charge for more chairs. 

Wi-fi will be provided by Plano Event Center

Booth fee

The first vendor booth is $300. Each additional booth purchased will be discounted 50%.

Need more space?

If you need more than 1 booth, each booth after the first will be discounted 50%.

 Payments

Vendor booth fees are due in full at time of reservation In order to secure your spot at FreshieFest. If you would like to cancel you can do so no less than 60 days prior to the event. Cancellations that meet this criteria will be eligible for a 50% refund. No refunds will be given after August 7th , 2024.

Booth Bingo

General admission and VIP ticket holders will have the opportunity to play Booth Bingo! Each booth will be provided a stamp. Each ticket holder who has a print out of the vendor map will come around to each booth to get a stamp. Once they fill the entire page and visit each vendor booth they can turn their map into the freshie fest booth to be entered to win a swag bag filled with goodies provided by FreshieFest, vendors and sponsors to further promote their business and products! The winners will be announced the afternoon of the event.

Food & Drinks

There will be concessions available at the event. *NO OUTSIDE FOOD OR DRINKS WILL BE PERMITTED*

 Vendor Parking

There will be free parking, and a dedicated parking lot for trailers. There is no loading dock available so please plan accordingly.  

Booth Set Up & Take Down

Set up will be 10/4/2024 2:00-6:00pm CT

Takedown must be done by 10pm CT 10/5/2024

**NO EARLY TAKEDOWNS WILL BE PERMITTED**

Swag Bags

If you will be providing products, samples or promotional items please email us at info@freshiefest.com for the shipping address, and have them shipped no later than 8/30/2024. Please do not ship swag bag items directly to the event center. Make sure to list these items on your vendor application.

 Event Center Shipping

The event center will allow you to ship products directly to the venue. Due to limited storage space, shipments may not arrive earlier than 2 business days prior to the event. You are responsible for packing and scheduling pick-ups after the event. Freight left more than 72 hours after the event may be disposed of.

Demos

Product demonstrations will be held in front of the stage. (You are responsible for the supplies needed for your demo). Demonstrations may be approved inside your vendor booth for an additional $50 fee for plastic floor coverings and additional cleaning. Demonstrations or activities involving glitter, paint, or other items that would leave a mess must first be approved by FreshieFest (please email us at info@freshiefest.com no later than 8/30/2024 for approval).

Permits & Taxes

Exhibitors selling merchandise will be responsible for paying all city and state sales tax.

LIABILITY STATEMENT:

EXHIBITOR AGREES TO DEFEND, INDEMNIFY, AND HOLD HARMLESS FRESHIEFEST AND THE HOST VENUE, ITS OWNERS OR MANAGERS, OFFICERS, OR DIRECTORS, AGENTS, EMPLOYEES, SUBSIDIARIES AND AFFILIATES, FROM ANY DAMAGE OR EXPENSE ARISING FROM OR OUT OF OR BY REASON OF ANY ACCIDENT OR BODILY INJURY OR OTHER OCCURRENCE TO ANY PERSON OR PERSONS, INCLUDING THE EXHIBITOR, ITS AGENTS, EMPLOYEES, AND BUSINESS INVITEES WHICH ARISES FROM OR OUT OF THE EXHIBITOR’S OCCUPANCY AND USE OF THE EXHIBITION PREMISES OR ANY PART THEREOF. EXHIBITOR SHALL BE FULLY RESPONSIBLE TO PAY FOR ANY AND ALL DAMAGES TO PROPERTY OWNED BY HOST VENUE, ITS OWNERS OR MANAGERS WHICH RESULTS FROM ANY ACT OR OMISSION OF THE EXHIBITOR.

Exhibitor assumes all responsibility for compliance with all pertinent laws, ordinances, regulations and codes required by Local, State, and Federal governing bodies concerning fire, safety and health. Exhibitors and sponsors are solely responsible for complying with all Plano Event Center rules and  regulations.
